MindMax vs. uploading PDFs to ChatGPT, Claude or Gemini

ChatGPT, Claude and Gemini read a PDF inside a conversation in their own app. MindMax works on the folder the PDF already lives in, marks up the document itself, and answers with a verbatim quote that opens the page. For a one-off question, the assistant you already pay for is enough; for documents you keep coming back to, the difference adds up.

ChatGPT · Claude · Gemini
A general assistant. The PDF is uploaded into a chat or a project inside its app.
MindMax
A desktop app on a folder you own. The PDF stays where it is, and notes and drafts land beside it.

Choose one, or use both

Choose ChatGPT, Claude or Gemini if

  • You have a one-off question about a file.
  • You want the answer in the same place you ask everything else.
  • You are not coming back to this document next week.

Choose MindMax if

  • The documents are something you return to — a reading list, a case file, a literature pile.
  • You need every answer to point at a page you can check.
  • You want what you make from them kept as files next to the sources.

Use both if

  • You draft and brainstorm in a chat assistant, but keep sources, annotations and citations somewhere they persist.
  • An answer copied out of any of the three pastes into a MindMax note with its formatting and equations intact.

What each one covers

Facts you can check yourself rather than take from us. Where a row quotes a limit, it is the one the assistant's own help centre states.

Where they differ
Where the document livesA folder on your disk that you chose. Your folder, opened in place →Uploaded into a chat or a project in the service.Look for the file a month later without re-uploading it.
CitationsA verbatim quote, checked against the source before you see it, that opens the page with the sentence highlighted. How quotes are checked →Varies by assistant and by question; often a summary without a locatable quote.Ask the same question in each, then try to land on the exact page.
AnnotationsHighlights and notes anchored in the document, saved next to it. The PDF reader →Not part of the upload flow.Highlight a passage, close everything, reopen tomorrow.
Many documents at onceBuilt for a folder of them; one question can span it. Ask across a folder →Gemini's help centre allows up to 10 files per prompt. Projects raise the ceiling, not to a whole library.Ask a question that spans a dozen papers.
Keeping files between chatsThe folder is the project; nothing to re-add.ChatGPT and Claude Projects keep uploads, within per-plan limits (ChatGPT's help centre: 5 files per project on Free; Claude's: 30 MB per file).Add your fortieth paper to a project and ask about the first.
Long PDFsNavigated by its own chapters and read section by section.Claude's help centre states PDFs over 100 pages are read as text only, without their figures.Ask about a chart on page 140 of a long report.
What you make from themNotes, translations and drafts are saved as files in the same folder, and the next question can use them.Stays in the chat history.Find last month's answer and use it as a source for a new question.

Same material, two different things to hold

Give both the same twelve papers and ask the same question: what does this field agree on, and where does it split?

Uploading to a chat assistant
  1. Upload the papers into a chat or a project.
  2. Ask the question and get a fluent paragraph. It is often right.
  3. Before it goes into a draft or a decision, go back to the papers to find out which parts are.

You end withA message in the chat history. Checking it means re-reading the papers.

MindMax
  1. Open the folder the twelve papers are already in.
  2. Ask the same question of the folder. Each claim in the answer quotes the sentence it came from, one click from the page.
  3. Ask where the papers disagree. That is usually where the finding is, and exactly what a smooth summary averages away.

You end withAn answer you can check claim by claim, kept as a note beside the papers.

Neither answer is wrong. The difference is what it costs to check one, and where it is next month.

Where the chat assistants is genuinely better

  • Anything that is not documents.

They are general assistants. MindMax is not, and does not try to be.

  • Mobile and zero install.

Nothing to download, and they work on a phone. If you read on the train, that matters more than anything above.

  • You already pay for one.

A second tool has to earn its place, and for occasional one-off questions it does not.

  • Files that already live in their ecosystem.

Gemini sits next to Google Drive, ChatGPT and Claude next to their own connectors. For files that live there, that is less friction than downloading them into a folder.

Questions people ask

Does MindMax replace my ChatGPT, Claude or Gemini subscription?

No. It does one thing — work through documents — and does not try to be a general assistant. A chat subscription does not include API access, so it cannot be plugged in — but if you also have an API key with a provider, MindMax can run on that instead of its own subscription.

ChatGPT and Claude have Projects now. Is that not the same thing?

Projects keep uploaded files available across conversations, which closes part of the gap. What they do not do is open the folder the files already live in, let you annotate the documents themselves, or save what you make back next to the sources as files. Each also has its own per-project limits, stated in its help centre.

Does it matter whether I use ChatGPT, Claude or Gemini?

Less than you would think. The models differ; the shape does not. All three keep your documents inside their own app, and none of them marks up the file you will open again next week. What MindMax runs on is a separate question: the subscription reaches several model families, including Claude and GPT, and with your own API key you choose the model for each kind of task — so choosing MindMax is not choosing against the model you like.

Do I need an account to read my own files?

Reading, annotating and searching your own documents is local work. Credits are spent when the AI does work for you, and with your own API key no account is needed at all.

Can I use it on a scanned PDF?

Yes, but recognition is a step you start deliberately, and quality depends on the scan.

Starting without giving anything up

MindMax opens a folder you already have — no import, no conversion, no second copy of your files. Keep your chat assistant for everything else. If MindMax does not earn its place, delete the app; your PDFs and notes are exactly where they were.
