The AI secretary anyone can have
Some people have a secretary who takes down what they say, gets the wording right and keeps the file in order. Everyone else has a notes app. MindMax quick notes give you the secretary: say or type a thought, and the AI writes it down correctly — nothing added, nothing dropped — files it under the right heading of your note, and tidies the note or carries out an edit when you ask.

Written down the way you meant it
A good secretary does not hand back your typos, and does not put words in your mouth. The AI quick note keeps both rules.
- The wording is always fixed: typos, a stray letter, the word speech recognition misheard, broken grammar or word order — in a one-line note too.
- The form is tidied: filler and false starts go, a correction keeps only the corrected version, the point comes first, and something you have to do becomes a task. A short line gets no headings or bullets it does not need.
- What you said is not touched. Every point, name, number and hedge stays, nothing is added, a question stays a question and “maybe” does not become “definitely”. Say “write it down exactly” and only the punctuation is fixed.
- When it is not sure a correction is right, it says so: the guess is listed — “lina → Lena” — for you to check before you accept.
- Spelling and the misheard “weather” are fixed — in a one-line note too
- Two things to do became two tasks; nothing was added
- The name it was not sure of is listed for you to check before you accept
Filed where it belongs
A transcript is not a note. The AI reads the note you have open and puts the thought where you would have put it yourself.
- Under its heading, after the item it continues, as a list item if that section is a list. It files within the note you have open — it does not go looking for a different one.
- Say “about the above” or “on the printer thing” and the thought joins that part of the note, which is corrected and tidied as a whole with nothing in it lost. Every part it does not touch stays exactly as you wrote it.
- It comes back as a marked change on the note, and nothing is written until you accept it.
- “um”, the false start and the correction are gone — Wednesday, not Thursday
- Something to do became a task; a doubt stayed a question
- Placed under the heading it belongs to; every other line is untouched
Tell it what to do
A secretary takes instructions as well as dictation. What you type into a note’s quick-note box can be either — and the key you press settles which.
- Edits to what is already written are done on the spot: rename a heading, merge two items, move a line, split a paragraph, turn it into a list, delete the bit about the venue.
- Work that needs new writing — “turn the above into an email to the client”, “summarise this section”, “translate it” — is never slipped in as a note. It is kept as a task, and the box asks “Run this now?” with the instruction spelled out.
- Press ⌘Enter (Ctrl+Enter on Windows) instead of Enter to skip the note and have it done: on the text you selected, or the part of the note you pointed at. The result is previewed word by word — replace or insert below, retry, or discard.
- A note to yourself about later or about someone else — “ask Sam to summarise it next week” — stays a to-do. Nothing is run.
Tidy the whole note in one go
A week of quick notes piles up in the order it occurred to you. One button puts it in order.
- Tidy whole note, at the bottom of the quick-note box while it is empty, fixes the typos across the note, brings related points together, keeps a point you wrote twice once, and adds short labels when the note covers several topics.
- Same rules as every quick note: the wording and the shape change, the content does not. Dated entries keep their order, and nothing is added.
- Every change arrives as a revision you can reject. If the note is already tidy, it says so and changes nothing.
- It only happens when you press it. The AI never reorganises a note on its own.
- Typos fixed, related points brought together, the line said twice kept once
- Every point and the question mark are still there; nothing is added
Four ways to hand it over
Where a thought lands depends on where you said it and which key you pressed. What does not change: you see it before it counts, or you can take it back.
- In a note, the quick-note box takes voice and typing alike — hold the microphone or just type. There is no mode to choose.
- From any other app, the voice capsule hands a thought over with ⌘Enter; plain Enter saves it as written, without AI.
Where it earns its keep
While you read
Jot reactions into your reading note’s quick-note box as you go through a paper or a book; each lands under the chapter it is about, spelled right.
The day’s to-dos
Say what you have to do as it comes up. It becomes a task in today’s note — written down, not scheduled.
A running project log
Decisions, open questions and loose ends, each filed under its part of the project note instead of piling up at the bottom.
Right after a meeting
Say the three things you need to remember on the way out. It is for your own points, not a recording of the meeting.
Coming from a notes app or an AI that rewrites your notes
Most notes either stay as raw as you typed them, or go through an AI that rewrites them in its own words. Here is the difference — and the jobs this does not do.
| Topic | A plain notes app, or an AI note summariserHow most people keep quick notes today | In MindMax |
|---|---|---|
| Typos and misheard words | Stay in the note until you fix them by hand. | Fixed as it is written down; anything uncertain is listed for you to check. |
| Filing | Everything at the bottom, to sort later. | Under the heading it belongs to, in the note you have open. |
| What the AI writes | A summary in its words, sometimes with things you never said. | Your points only; new writing happens only when you ask for it, as its own change. |
| What else changes | A rewrite can touch the whole note. | Only the part it files into; the rest stays word for word. |
| Reminders and meetings | An assistant app can alert you, book a slot, or record a call. | It does none of these. “Remind me” becomes a to-do in the note. |
One part of a loop: read, think, write
Your notes, and the two hundred PDFs you read to write them, sit in one folder — where a single AI works across both. Tools you would otherwise stitch together each hold one half of that.
- ReadRead the papers and books your thoughts come from, and ask about them with citations back to the page.
- ThinkWhen notes pile up around one question, take it to a canvas and think it through branch by branch.
- WriteThis pageQuick notes, filed and tidied, are what you draft from — in the same folder as everything you read.
Where it gets hard
- It can still get a word wrong
A name it has never seen or a term only you use can be “corrected” the wrong way. That is why uncertain fixes are listed and every change waits for you to accept it.
- It will not write for you unasked
A quick note never grows content you did not supply. When you want new writing, say so with ⌘Enter or press Run — it is done as a separate change you review.
- A secretary for notes, not your calendar
It does not send reminders, book meetings, or record calls. Things to do become tasks in your note, and a single voice recording stops at ten minutes.
Common questions
What is an AI secretary for notes?
It is what MindMax quick notes do: you say or type a thought, and the AI writes it down correctly, files it under the right heading of the note you have open, and tidies the note or carries out an edit when you ask. It keeps your points as they are — nothing added, nothing dropped — and every change waits for you to accept it.
Does the AI change what I said?
It changes how it is written, not what it says. Typos, misheard words, grammar and word order are fixed; filler and false starts go; a correction keeps only the corrected version; a thing to do becomes a task. Every point, name, number and hedge stays, nothing is added, and a question stays a question. Say “write it down exactly” and only the punctuation is fixed.
Will it fix typos in a one-line note?
Yes. Wording is corrected at every length; a short line just does not get headings or bullets added. Parts of the note it is not filing into are left exactly as they are.
What happens when it is not sure about a correction?
It lists the guess — the old spelling and the new one — beside the change, so you can check it before you accept. If the guess is wrong, reject the change or fix the word yourself.
Can it do something with my notes, like turn them into an email?
Yes, when you ask for it outright. Press Enter and the request is kept as a task, with a Run button that carries it out. Press ⌘Enter (Ctrl+Enter on Windows) and it is carried out straight away on the text you selected or the part of the note you pointed at. Either way the result is previewed word by word for you to keep or discard.
Can it reorganise the whole note?
Open the quick-note box and, before typing anything, press Tidy whole note at the bottom of it. It fixes typos across the note, brings related points together, removes a point said twice and adds labels when the note covers several topics — all as revisions you can reject. It never reorganises a note unless you press it.
Where do quick notes end up?
In the note you have open, if it is a Markdown or text file you can edit, otherwise today’s daily note — under the heading it belongs to, as a change you accept. The AI files within that note; it does not choose a different one. Said to the assistant (“note this down”, or /note), it goes straight into today’s daily note and can be undone from history.
Will it remind me or put things in my calendar?
No. “Remind me to call the printer” becomes a task in your note, not an alert. MindMax works on documents in your folder; it does not send notifications, book meetings or record calls.
Can I give it quick notes by voice?
Yes. Hold the microphone in a note’s quick-note box, or press Option-Shift-Space (Alt+Shift+Space on Windows) over any app and send it with ⌘Enter. The transcript always waits for you to read it first.
