Keep a project log that writes your weekly update

A project note that stays in order while you only ever add a sentence at a time — every decision, open question and to-do under its heading, in your words, spelled right — and on Friday, a weekly update drafted from it that you edit and send.

You start with
A project you touch most days, and one Markdown note for it. A few headings are enough; an empty note works too.
Time
A few seconds per thought during the week, about ten minutes on Friday.
Your part
What happened and what you decided. Spelling, filing, regrouping and the first draft of the update are handed over.

What you'll end up with

  • A project note with each decision, open question and to-do filed under its heading — your points, nothing added.
  • The week's to-dos as checkboxes you can tick off in the same note.
  • A weekly update for your team or client, drafted from the log and edited by you.
  • All of it Markdown in the project folder, next to the documents it is about.

This is a log, not a task manager: there are no due dates, reminders or assignees.

  • Every point and the question mark are still there; nothing is added

How to keep a project log without the busywork, step by step

  1. Give the project one note with a few headings.

    You

Decisions, Open questions, This week — or one heading per workstream. The headings are what the AI files against; without them, everything lands at the end.

  2. Say each thing when it happens.

    You ask · MindMax answers

Askprinter moved the proofs to wensday, and we still dont know if the venue has a projector

Type it or hold the mic in the note’s quick-note box, then press Enter. The spelling is fixed, the open question stays a question, and each point is filed under its heading as a change you accept.

  3. Away from MindMax, use the shortcut.

    You

Press Option-Shift-Space over the browser or the call you are on. With the project note open in MindMax, ⌘Enter files the thought into it; plain Enter puts it in today’s note as said.

  4. Glance at the names it was not sure of.

    You

A client’s name or an internal code word is where corrections go wrong. Uncertain fixes are listed above Accept — five seconds now saves a wrong name in Friday’s update.

  5. On Friday, tidy the whole note.

    You ask · MindMax answers

Open the quick-note box empty and press Tidy whole note. Points said on different days come together, a thing said twice is kept once, dated entries keep their order. Reject any regrouping you disagree with.

  6. Turn the week into an update.

    You ask · MindMax answers

AskTurn the This week section into an update email for the client

Press ⌘Enter, not Enter, so it is done rather than written down. The draft is previewed word by word; choose Insert below so your log stays as it was.

  7. Edit it and send it.

    You

The draft is built from the section you pointed at. Check it for anything stated more firmly than you did, add the judgement only you have — what you need the reader to decide — and paste it into your mail app.

Why it works here

Your words, filed as you go

Each thought is corrected and placed under its heading without adding or dropping anything, and arrives as a change you accept.

AI quick notes →

Captured from whatever you are doing

One shortcut over any app, read before it counts, filed into the note you have open in MindMax.

Voice notes from any app →

Nothing rewritten behind your back

The tidy-up and the update draft both come back marked on your text, to keep piece by piece or discard.

Tracked changes →

Where it gets hard

  • Without headings, it files to the bottom.

The AI places a thought next to what it belongs with. In a note with no structure there is nothing to file against, so give it three headings on day one.

  • Names it has never seen can be “corrected”.

Client names, product code words and colleagues’ nicknames are the risk. Read the list of uncertain fixes before accepting, and reject the change when one is wrong.

  • The update is a draft, not a report.

It is written from your log, but a summary can sound surer than your notes were or leave out a caveat. Read it against the section before it goes to a client.

  • It will not remind you of anything.

To-dos are checkboxes in a Markdown file — no due dates, alerts or assignees. If the project needs those, keep the task tracker and use the log for what happened and why.

  • Only at your computer.

MindMax is a desktop app. A thought you have on the train goes into your phone; paste it into the quick-note box when you are back.
